The CRM that starts where the sale ends, connected to two other systems without duplicating anything
The CRM USP uses to support each athlete once signed: a service pipeline with payment milestones, universities, tasks, metrics and alerts. Each client is created automatically when the sale closes in the Sales Tool.
From problem to solution
- 01 · The challenge
USP already had the Sales Tool to sell and the partners CRM to capture leads, but what happens after signing, which is when the real work starts, was scattered.
And the risk of building a third system was the usual one: three databases, the same client in all three with different data and nobody sure which was right.
- 02 · What we did
We first designed how the three systems talk to each other and wrote it down in a versioned contract.
Each entity has a single owner at any moment: the lead belongs to the Sales Tool, and when it is marked as a closed sale the client is created in this CRM with a snapshot of the sale. Messages between systems are stored before being sent and retried automatically if they fail, and a repeated event updates instead of duplicating. On that foundation we built the client CRM: a pipeline with editable stages and payment milestones, a profile with contacts and universities, tasks, metrics, internal alerts, an advisor catalogue and users with roles.
